Manager

Clarity Therapy NYC is looking to add an Office Manager to our diverse and growing team.

Temporarily remote work; in office service beginning November/December 2020.

JOB TYPE

Starts at 20 hours per week, up to full time, independent contractor (1099)

COMPENSATION

$20-$25/hour

REQUIREMENTS

• Minimum of 2 years of experience in office management

• Experience in managing a large and growing team

 • Ability to give direction

• Hard-working and willing to be part of a team

• Desire to grow with the practice

• Excellent written and communication skills; Strong organizational and
problem-solving skills Must be able to think creatively and multitask.

 • Working knowledge of Quickbooks, Microsoft Office, G-Suite, and Simple Practice

• Ability to work as a member of a team as well as to work independently

• Strong oral and written communication skills

• Self-motivated with strong personal organizational skills

• Capacity to handle multiple projects and an ability to meet deadlines

Responsibilities:

  1. Working with a diverse population of up to 600 clients, delivering exceptional customer service
  2. Manage and coordinate multiple on-going projects at the direction of the practice owner and operations team
  3. Be highly responsive to therapist needs such as coordinating office allocation for therapy sessions, scheduling appointments, responding to client inquiries and prospective client, billing and collecting payments from clients, or assistance
  4. Plan and schedule meetings, conferences, teleconferences and travel
  5. Ensure operation of all office equipment by scheduling 
preventive maintenance and coordinating any repairs
  6. Develop knowledge of health insurance policies and guidelines – including copays, coinsurances, referrals, verification of insurances; handling patients’ records discreetly, updating demographic and financial information; Protecting and securing medical records
  7. Develop knowledge and utilization of EMR, medical coding and billing relevant to practice.
  8. Oversee billing and collections portion of office with Virtual Assistant billing team (2-3 individuals).
  9. Recruit, train, and manage psychology interns who want to gain clinical experience in a mental health private practice setting.
  10. Coordinate with Owner and Operations Team on tasks as needed including but not limited to budget tracking and planning, personal assistance, etc.
  11. Order office supplies
  12. Event coordination
